Shipment and Delivery Requests

🧭 Overview

This page summarizes the rules for production sites when preparing shipments or delivery requests to or through CERN.
The procedures are based on the latest Pixel Logistics updates presented during the ITk Week (Jan 2025).

All logistics flows should be tracked and recorded in the Production Database (PDB) to ensure traceability and compliance with CERN logistics.

πŸ“¦ Delivery Requests

  1. Use the PDB to record all cluster inventory and shipments (incoming or outgoing).
  2. Use the delivery request feature in PDB when a site requests a shipment from CERN.
  3. A priority field can be added to the delivery request for scheduling purposes.
  4. Identify whether the shipment goes through CERN logistics (for customs and transit).

🚚 Preparing a Shipment

When preparing any shipment related to module assembly, testing, or logistics:

  1. Make sure a delivery request exists in PDB (created by the recipient).
  2. Prepare the shipment in PDB and link it to the delivery request.
  3. Inform atlas-itk-pixel-part-flow@cern.ch and itk.logistics@cern.ch by email.
    Include the courier tracking number in the message.
  4. Pack for transit:
  5. Group all packages that must transit through CERN.
  6. Clearly indicate the final destination address on each inner package.
  7. Place all inner packages inside one large outer box addressed to CERN.

🏒 CERN Addresses and Logistics References

If no PDB record exists for the shipment, you must include detailed information manually (see below).


🧾 Manual Shipment Information (if no PDB record available)

If a shipment cannot be registered in PDB, the following information must be included:

Destination details

  1. Institute or company name
  2. Contact person’s name
  3. Contact email
  4. Telephone number
  5. EORI number (for EU destinations)

For each shipped item

  1. Description (materials and intended use in the project)
  2. Quantity
  3. Value and currency
  4. Country of origin
  5. Harmonized System (HS) Code
  6. CERN order number (DAI/PC) or the paying institute

🧩 General Recommendations

  • Use the PDB whenever possible β€” it automatically includes all required fields and avoids manual data entry.
  • Ensure your email address is correctly registered in PDB under your profile.
  • Always verify that logistics information and institute addresses are up to date.
